Terms & Conditions
1. About us and these terms
These Terms and Conditions ("Terms") form a legally binding agreement between you and Sapta Limited, a company incorporated in England and Wales (Company No. 13335778), registered address on file at Companies House ("Sapta", "we", "us", "our").
By purchasing or using the GMC Multi-Source Feedback (MSF) service ("the Service") at drtapase.co.uk, you agree to be bound by these Terms. Please read them carefully before placing an order.
If you do not agree to these Terms, you must not use the Service.
2. The Service
The Service provides GMC-compliant Multi-Source Feedback assessments for licensed medical practitioners in the United Kingdom. The Service includes:
- An online patient feedback form (anonymous, unlimited submissions up to threshold)
- Colleague feedback via unique, single-use email invitations
- A secure online portal to manage your MSF round
- Automated anonymised MSF report generation once GMC thresholds are met
- A 90-day collection window from the date of purchase (extendable on request)
GMC thresholds: A minimum of 25 patient responses and 15 colleague responses are required for a valid MSF under current GMC guidance. We cannot guarantee that these thresholds will be reached within the collection window — this depends on engagement from your patients and colleagues.
3. Eligibility
The Service is available to:
- Doctors registered with the General Medical Council (GMC) with a valid GMC number
- Doctors currently engaged in, or preparing for, NHS appraisal or GMC revalidation
By purchasing the Service, you confirm that you are a licensed medical practitioner with a valid GMC registration number. Sapta Limited reserves the right to cancel and refund any order where this cannot be verified.
4. Ordering and payment
Orders are placed via our website and payment is processed securely by Stripe. Payment is required in full at the time of ordering. We do not store your card details.
An order confirmation email will be sent to the address you provide within a few minutes of payment. This email contains your secure portal link and constitutes our acceptance of your order and entry into a contract.
All prices are quoted in Pounds Sterling (GBP) and are inclusive of VAT where applicable.
5. Cancellations and refunds
Cooling-off period
Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, you have the right to cancel your order within 14 days of purchase without giving any reason, provided the Service has not yet commenced (i.e. no patient or colleague responses have been received).
To exercise your right to cancel, email [email protected] within 14 days of purchase stating your order reference number and your wish to cancel.
Service already commenced
If you request cancellation after responses have begun to be collected, no refund will be issued. By proceeding to share your patient link or send colleague invitations, you acknowledge that the Service has commenced and you waive your statutory 14-day cancellation right.
Failure to reach thresholds
If GMC thresholds are not met within the collection window (including any extensions), we will discuss options with you on a case-by-case basis. A full or partial refund may be offered at our discretion where the failure to meet thresholds is demonstrably outside your control.
No refunds will be issued where thresholds are not met due to the doctor's own failure to share the patient link, send sufficient colleague invitations, or engage with the service.
6. Your responsibilities
By using the Service, you agree to:
- Provide accurate personal and professional information, including your correct GMC number
- Keep your portal password confidential and not share it with any other person
- Only invite genuine colleagues and patients to provide feedback
- Not attempt to manipulate, inflate, or falsify feedback responses in any way
- Comply with GMC guidance on Multi-Source Feedback and revalidation
- Inform us promptly of any errors in your submitted information at [email protected]
7. Fraud and manipulation
We take the integrity of GMC assessments very seriously. Our systems automatically analyse responses for indicators of manipulation, including but not limited to:
- Multiple submissions from the same device or IP address
- Unusually fast completion times
- Patterns inconsistent with genuine patient or colleague feedback
Responses flagged by our system are placed on administrative hold and reviewed by Dr Tapase before being included in the final count. Responses confirmed as fraudulent will be permanently excluded.
Any attempt to manipulate MSF responses constitutes a serious breach of GMC Good Medical Practice and may be referred to the GMC. Sapta Limited reserves the right to terminate the Service immediately and without refund where manipulation is suspected or confirmed.
8. The report
The MSF report is generated automatically once both GMC thresholds (25 patient responses and 15 colleague responses) have been met. The report will be:
- Fully anonymised — no individual respondent can be identified from the report
- Generated in PDF format and delivered to your registered email address
- Accessible for download from your portal for the duration of our data retention period (5 years)
The report is produced for the purpose of NHS appraisal and GMC revalidation. It is your responsibility to submit the report to your responsible officer or appraisal body as required.
Sapta Limited does not communicate directly with your responsible officer, appraisal body, or the GMC unless instructed by you in writing.
9. Intellectual property
The questionnaire instruments, report templates, and website content are the intellectual property of Sapta Limited. You may not reproduce, copy, or distribute them without our written consent.
Your MSF report is your property. You are free to share it with your appraiser, responsible officer, or employer as required for your revalidation.
10. Limitation of liability
To the fullest extent permitted by law:
- Sapta Limited's total liability to you in connection with the Service shall not exceed the amount you paid for the Service
- We are not liable for any indirect, consequential, or special losses, including loss of earnings, loss of GMC registration, or reputational damage
- We are not responsible for any outcome of your NHS appraisal or GMC revalidation, which are determined solely by your responsible officer and the GMC
- We are not liable for delays or failures caused by circumstances outside our reasonable control, including Stripe or Resend outages
Nothing in these Terms limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be limited by law.
11. Data protection
Our use of your personal data is governed by our Privacy Policy, which forms part of these Terms. By using the Service, you confirm that you have read and understood our Privacy Policy.
12. Changes to the Service and these Terms
We reserve the right to modify the Service or these Terms at any time. Material changes that affect active MSF rounds will be notified to you by email. Continued use of the Service after notification constitutes acceptance of the updated Terms.
We will not make changes that materially disadvantage you in respect of an active, paid MSF round without your consent.
13. Governing law and disputes
These Terms are governed by the laws of England and Wales. Any dispute arising from these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales.
We are committed to resolving disputes informally. Please contact us at [email protected] before initiating any formal proceedings. We will respond within 10 working days.
